Patient Services Representative

Job Title: Patient Service Representative
Reports To: Business Office Manager
FLSA Status: Non-Exempt

Summary: Monitors patient schedule, performs secretarial duties, schedules and maintains patient appointments, greets patients, relays incoming telephone calls to the appropriate person and performs assigned administrative responsibilities by performing the following duties.

Duties and Responsibilities include the following. Other duties may be assigned.

1. Ensures appointment hours are filled in accordance with appointment scheduling guidelines.*
2. Notifies patients of changes with appointment times and schedules accordingly.*
3. Retrieves, organizes and maintains files in accordance with policy.*
4. Greets patients and visitors as they enter the office and notifies the appropriate person of the individual’s arrival.*
5. Answers incoming telephone calls on multi-line telephone system in a professional and timely manner.*
6. Transfers calls and faxes to the appropriate person and writes messages in accordance with approved telephone procedures.*
7. Types correspondence and office documents as directed.*
8. Processes incoming and outgoing mail to include receiving and distributing.*
9. Notifies appropriate individual of equipment repairs or general maintenance needs.*
10. Records and maintains appropriate patient information to ensure proper billing.*
11. Adheres to all approved policies, procedures and philosophies.*
12. Demonstrates knowledge of insurance company computer referral programs.*
13. Contacts various offices/facilities to obtain necessary information to accurately complete referral requests.*
14. Maintains referral records and files documentation.*
15. Operates standard office equipment to include:
– multi-line telephone/voicemail
– fax machine
– computer
– photocopy machine
– adding machine/calculator.*

Education/Experience:
High school diploma or general education degree (GED).

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:
To perform this job successfully, an individual should have knowledge of word processing software; internet software and database software.
